Panafold One keeps your clients, projects, pipeline and events on one record. It is labeled the way your office speaks, and kept current by the client email your team copies to it.

Events

Practices like yours host constantly: open houses, unveilings, groundbreakings. In most offices each one lives in its own spreadsheet. In Panafold One it lives on the client record.

You build the guest list from the groups you already keep, or carry it forward from the last event, and publish a public page for replies. When a guest RSVPs there, the list updates itself. From the same event you schedule the invitation and its reminders, one for those who haven't answered and one for those who are coming, and send yourself a test first. If the invitation should be a composed piece rather than a template, you set it as a sequence of your own images, each linking wherever you choose.

If your invitations go out through Mailchimp, Panafold One prepares the guest list, tells you who won't receive it, and brings the campaign's opens and clicks back to the event. The sending stays in Mailchimp.

Unsubscribes are honored automatically. A guest who opts out stays out until they choose to come back, through a link you can send them.

Your vocabulary

Every office has its own words for its work. One calls them projects, another engagements. One pursues leads, another prospects; a practice with two locations may call its divisions studios. Panafold One is set up in your terms throughout (the navigation, the forms, the lists, even the built-in help), so nobody on your team translates between how they speak and what the screen says. We configure it with you, along with which parts of the product your office sees at all.

Correspondence

A CRM usually goes stale for one reason: it depends on someone typing into it. Panafold One asks for less. Copy or forward a client email to your office's logging address, and the thread is summarized and filed against the people it concerns. Inquiries from your website arrive as contacts, with a follow-up task to go with them. Notes from a site visit can be spoken into a voice memo rather than typed. And anyone unsure where something lives can ask the built-in help, which answers in your office's terms.

The record

Underneath is the CRM itself. People and companies, leads and clients sit in one place, tagged and grouped, with a lead converted to a client in one step and duplicates merged. Where two clients share an email address (a couple, say), one record owns it, so nobody receives the same message twice. Projects hang from their clients, with phases, tasks, deadlines, reminders, reusable checklists and files. Opportunities carry a value, a close date and an owner from first conversation to signed work. Your Mailchimp audiences stay in step: groups link to audiences, tags travel with the contact, and where the two disagree, Panafold One lists each difference and resolves the ones it can.

Who it is for

Panafold One is made for architecture, interior design and creative practices of roughly eight to sixty people: offices whose work turns on relationships, and whose client details currently live in three or four places at once, such as a CRM, a project tool, Mailchimp and a spreadsheet someone keeps on the side. It does not do invoicing or timesheets, by design. Your practice keeps the accounting it already trusts; Panafold One keeps the relationships.
